ADMINISTRATIVE ASSISTANT (FULL TIME)
Indiana Benefits, Inc., is a small privately-owned Third Party Administrator (TPA) firm located in Bloomington, Indiana. We are seeking a full time Administrative Assistant. We are committed to providing excellent service and quality work to our clients.
JOB OBJECTIVE
The primary objective is to perform accurate and timely client services.
QUALIFICATIONS
1. Education - college degree
2. Excellent people skills
3. Strong basic math skills
4. Experience with professional office practices and ability to effectively communicate with clients and other professionals orally and in writing.
5. Proficient with Microsoft Office applications
ESSENTIAL RESPONSIBILITIES
A. Assisting with the delivery of client services, including, but not limited to:
1. Greeting clients and colleagues
2. Answering phones and distributing incoming faxes
3. Processing retirement plan distributions
4. Printing and assembling client reports and documents
5. Scanning items for electronic storage
6. Assisting with mass mailings and/or mass e-mailings (usually in December and
January)
7. Filing - correspondence, investment statements, etc.
8. Data entry
9. Assuming additional responsibilities that may be
assigned as you gain experience
B. Keeping current with new procedures to maintain and improve your level of skill. Participating in study programs to develop knowledge of the retirement plan business.
C. Maintaining proficiency in using IBI software systems and office equipment (computer, phone, fax, copier, scanner and postage system).
D. Sharing knowledge with other members of the firm to maintain and improve quality of the firm's services and image. The higher the quality of our staff, the better our firm.
E. Making suggestions to improve our firm's services (including new services, improvements to existing forms and/or procedures, cost efficiencies, etc.) so we can provide better service, retain clients and attract new clients.
F. Helping to maintain goodwill with clients, their advisors and other professionals.
G. Complying with our scent-free office policy.
SOFTWARE CURRENTLY USED AT IBI
1. Microsoft Office - Excel, Word, Access, Outlook
2. Adobe Acrobat Standard (read and write pdf files)
3. Datair - specialized retirement plan software
CONTINUING EDUCATION
1. Retirement Plan Basics (online course) - approximately 10 hours, to be completed on company time after end of probationary period
2. In-house programs may include IBI-generated staff education, webcasts and presentations from other providers
3. (Optional) American Society of Pension Professionals and Actuaries (ASPPA), Retirement Plan Basics 1 & 2. Study and tests taken on your time. IBI pays for course materials and reimburses examination fees. These exams are "open-book".
PAY AND BENEFITS
1. Pay starts at $14.00 per hour or more, depending upon experience. Pay period is bi-weekly. Overtime is paid at 150% of normal hourly rate. We operate on a 40 hour work week, 9:00 am to 5:00 pm Monday through Friday
2. Health Insurance Allowance - up to $150 per month - starts immediately when you provide us with a copy of your health insurance bill.
3. Sick and Personal Time Off - 1 day per calendar quarter - cannot be accumulated - if not used, will be paid based on normal hours worked per day.
4. Vacation Pay - 1 week of paid vacation is earned after 1 year of employment, 2 weeks of paid vacation are earned after 2 or more years of employment. In addition, after completion of your probationary period, a paid week of vacation is provided between Christmas and New Year's Day.
5. Holiday Pay - for the following holidays: New Year's Day, Memorial Day, Independence Day, Labor Day, Thanksgiving (both Thursday and Friday), Christmas.
6. 401(k) Plan - after 1 year of service with IBI, you become eligible on January 1st or July 1st next following your anniversary of employment. The plan provides for company (non-matching) contributions.
7. Continuing Education Reimbursement - IBI will reimburse expenses for pre-approved continuing education
8. Employment Agreement - all employees are required to sign an employment agreement which restricts working for a competitor.
OUR FIRM
We are a privately owned Third Party Administrator (TPA) firm located near College Mall in Bloomington, Indiana and have been in business since 1982. Our location provides comfortable workspace and room for continued growth. Parking is provided on site.
Our specialty is providing TPA and consulting services to small and mid-sized retirement plans. Almost all of our clients come to us by referral - we're only as good as our reputation. We try to be as "user-friendly" to our clients as possible. During normal business hours, our phones are answered by a human being and our clients really appreciate the service and respect that they receive from us. Many of our clients have been with us for over 20 years. We have an excellent reputation in our operating area and maintain good relations with the IRS TE/GE agents who cover our area.
We attempt to keep overtime to a minimum. When it's needed, we pay for it (1.5 times your hourly rate).
We work together as a team - sharing knowledge, expertise and help when another staff member needs it. Dress is business casual. To provide a healthy work environment, we prohibit the use of any scented products or tobacco products on company property.
OUR LOCATION
Bloomington is a college town (Indiana University) located 50 miles south of Indianapolis. Cultural, educational, and recreational opportunities are abundant. From Bloomington, you can drive 1 hour to Indianapolis, 1.5 hours to Louisville, 2 hours to Cincinnati 3.5 hours to Chicago or 66.5 hours to Anchorage, Alaska.
